1. General Scope
This Acceptable Use Policy ("AUP") governs all email communications and electronic messages dispatched
through or facilitated by the MatjarUK platform, operated by MatjarUK Technologies,
Inc.
MatjarUK is a B2B multi-channel retail operations platform. Access is restricted to
authorised business clients, their designated team members, and verified supplier contacts. The platform
does not offer open registration to the general public.
By using the Service, you agree to comply with this AUP, our Terms of Service,
and our Privacy Policy. This AUP is enforceable as part of your
subscription agreement.
2. Nature of Allowable Traffic
All email communications sent via MatjarUK are strictly transactional and operational.
The following message types are permitted:
- Order confirmation and fulfilment status notifications
- Inventory threshold breach alerts (low-stock, out-of-stock, reorder triggers)
- Supplier purchase-order transmissions and delivery-window confirmations
- Daily operations digest reports (per-store performance summaries)
- Staff shift-change notifications and schedule updates
- Account security alerts (password resets, MFA codes, suspicious login attempts)
- Billing receipts, invoice notifications, and payment confirmations
- Platform maintenance and service-status bulletins
The following are explicitly prohibited:
- Marketing campaigns, promotions, or discount offers
- Newsletters, editorial content, or brand awareness communications
- Cold outreach or prospecting emails
- Any communication to recipients who have not been verified through platform registration or
contractual onboarding
3. Consent & Opt-In
Recipient consent is obtained through one of the following mechanisms:
- Platform Registration — users create an account and accept the Terms of Service,
which include acknowledgement of transactional notifications
- Contractual Onboarding — supplier contacts are added by the client as part of a
commercial relationship, with consent documented in the supplier agreement
We do not accept:
- Purchased, rented, or scraped email lists
- Lists obtained through third-party lead-generation services
- Co-registration or pre-checked opt-in checkboxes
Consent records — including timestamp, method, and source — are retained for at least 36 months and are
available for audit upon request.
3.1 Notification Management
Recipients may manage their notification preferences through our Preference Centre:
- Essential notifications (security alerts, billing receipts, critical service
notices) — cannot be fully disabled, as they are necessary for account integrity and compliance
- Optional operational updates (daily digests, shift summaries, non-critical
inventory alerts) — can be individually toggled off
We include a List-Unsubscribe header and a "Manage notification settings" link pointing to
the Preference Centre in all messages. We do not promise blanket unsubscription from
all communications, as essential transactional messages serve a contractual and security purpose.
4. Zero-Tolerance Spam Policy
MatjarUK maintains an absolute zero-tolerance stance toward unsolicited messaging:
- Complaint rate exceeding 0.1% → immediate sending suspension for the offending
client account, pending investigation
- Bounce rate exceeding 5% → automatic review; if attributed to list hygiene
failures, sending privileges are restricted pending corrective action
- Feedback loops (FBL) → we subscribe to ISP feedback loops; any FBL complaint
triggers immediate suppression of the complaining address and a review of the triggering template
- List-Unsubscribe — a
List-Unsubscribe header is included on every
message; preference-centre links are embedded in every email footer
Clients whose accounts are suspended for spam violations may be permanently terminated, at MatjarUK's
sole discretion.
5. Prohibited Content
No email sent through the MatjarUK platform may contain:
- Spam, unsolicited bulk messages, or chain letters
- Phishing attempts, credential harvesting, or social engineering
- Malware, viruses, trojans, or malicious attachments
- Illegal content, including materials that violate applicable US or UK law
- Defamatory, obscene, or threatening material
- Content that infringes intellectual property rights of any third party
- Deceptive subject lines, forged headers, or misleading sender identities
- Content promoting gambling, cryptocurrency, pharmaceuticals, adult material, weapons, or financial
schemes
6. Email Authentication Standards
All outbound email from the MatjarUK platform adheres to the following authentication standards:
- SPF (Sender Policy Framework) — DNS records authorise only MatjarUK-approved
sending infrastructure
- DKIM (DomainKeys Identified Mail) — all messages are cryptographically signed with
2048-bit keys
- DMARC — policy set to
p=reject, ensuring that unauthenticated messages
are discarded by receiving mail servers
- Custom Return-Path — bounce handling routed through MatjarUK's suppression pipeline
7. Monitoring & Reporting
MatjarUK employs continuous monitoring to enforce this AUP:
- Automated metrics tracking — complaint rates, bounce rates, and delivery latency
are monitored in real time per client
- Content scanning — outbound messages are checked against pattern libraries for
prohibited content
- Volume anomaly detection — any sending spike exceeding 200% of a client's 7-day
rolling average triggers automatic throttling and an engineering review
- Abuse reporting — reports of abuse can be submitted to abuse@matjaruk.com and are investigated within 24 hours
8. Enforcement
Violations of this AUP are handled through a graduated enforcement process:
- Warning — first-time, minor violations result in written notification with
corrective guidance
- Sending Suspension — repeated or serious violations result in temporary suspension
of email sending privileges
- Account Termination — egregious or repeated violations lead to permanent
termination of the client account
- ISP & Blacklist Reporting — where required, abusive activity is reported to
ISPs, blacklist operators, and relevant authorities
- Legal Action — MatjarUK reserves the right to pursue legal remedies for damages
caused by AUP violations
9. Client Responsibility
Each client is responsible for:
- Ensuring all users within their organisation comply with this AUP
- Maintaining accurate and up-to-date recipient lists
- Promptly addressing bounce and complaint issues flagged by MatjarUK
- Training their teams on acceptable email practices
- Cooperating fully with any investigation into potential AUP violations
